In the second quarterly product release of 2018, Sage Intacct launched the “Advanced Audit Trail”. Here’s what you should know!


Who is it geared for?

Advanced Audit Trail has been designed to help healthcare companies improve their HIPAA compliance. Sage Intacct has taken the time to understand where patient data is stored and how best to track access to it without impacting the overall performance of the system.

What does it do?

Advanced Audit Trail tracks access to personal data stored in contact, customer, or vendor records. This means the Advanced Audit Trail logs, and can report on, every instance whereby a user accesses such records in your Sage Intacct instance. Some examples of personal data access include:

  1. Opening a list that includes a contact, customer, or vendor.
  2. Choosing a contact, customer, or vendor from a drop-down list for a transaction.
  3. Reading a report that includes contact, customer, or vendor records.
  4. Running a query through the API that includes contact, customer, or vendor information.

What does it mean if a record was accessed?

If a record was accessed, it means a user saw some or all of the information held within that record.

What does the Advanced Audit Trail consider to be personal data?

  1. Names

  2. Addresses

  3. Start dates, end dates, dates of birth

  4. Phone or fax numbers

  5. Email addresses

  6. Social security numbers

  7. Bank account numbers

Where doesn’t the Advanced Audit Trail work?

  1. Copy companies of your Production environment

  2. Preview companies

  3. The tool does not track activity by a Sage Intacct support representative

  4. Field-level tracking (the tool will tell you which contact, customer, or vendor records were accessed, but not what fields within them were accessed)

  5. User and employee personal information

  6. Company bank accounts

  7. Custom fields

How is this different than the traditional “Audit Trail”?

The Audit Trail tracks only the changes made to records and transactions in your Sage Intacct instance, as well as who made those changes and when. The Advanced Audit Trail tracks when contact, customer, or vendor records are viewed; even when there have been no changes.

The Advanced Audit Trail costs 20% of your overall Sage Intacct subscription value.
